QuickBooks Online Setup Checklist for a Small Business: 8 Steps

A QuickBooks Online setup checklist for a small business has 8 steps: connect your bank and credit card accounts, enter opening balances for any account you did not connect, review the chart of accounts, import customers and vendors, create bank rules, turn on sales tax if you charge it, create your first invoice, and reconcile. I did not find a single official Intuit setup checklist, so the order below is mine, assembled from its separate help pages, which were current as of October 2026.

What should I have ready before setting up QuickBooks Online?

This is my list, built from the prerequisites on Intuit's pages:

  • Online banking access for each bank and credit card account you want to connect.
  • A real statement balance and a start date for each account.
  • Your customer and vendor lists, in a spreadsheet or email contacts.
  • If you charge sales tax, your tax agency names and rates.

For the records behind your books, see my guide to small business bookkeeping basics.

How to set up QuickBooks Online

  1. Connect bank and credit card accounts. Go to All apps, then Accounting, then Bank transactions, and select Connect account. Search for your bank, sign in, follow the security steps, select the accounts, and choose the start date from the date range dropdown. Then select Connect and Done. If you connect an account, QuickBooks uses the transactions since your start date to work out its opening balance.
  2. Enter opening balances for accounts you did not connect. Connected accounts get theirs from the start date you chose, so skip them. For the others, go to All apps, then Accounting, then Chart of accounts and select New. Name the account, choose its type and detail type, and enter the Opening balance and As of date. For a new account use the day it opened at the bank. For an existing account use the beginning date of the next statement. Save.
  3. Review the chart of accounts. This is the complete list of your accounts and balances. The main types are Assets, Liabilities, Income, and Expenses. You can add, edit, and reactivate accounts, or make one inactive to block new transactions while keeping history.
  4. Import customers and vendors. Go to Settings, then Import Data, then Customers or Vendors. Use a spreadsheet with headers in row 1 and data on Sheet1, with no formulas, charts, blank rows, or error values.
  5. Create bank rules. Go to All apps, then Accounting, then Rules, and select New rule. Name it, choose Money in or Money out, choose the account, set conditions, then choose the transaction type, category, tags, and payee, and save.
  6. Set up sales tax, if you charge it. Go to All apps, then Sales Tax, then Sales tax settings, and select Yes if you charge sales tax.
  7. Create your first invoice. Select Create, then Invoice. Pick a customer, review the invoice date, due date, and terms, choose a product or service for each line, then review and send, or save for later.
  8. Reconcile. Reconcile each account to its statement. Intuit says to make sure all transactions for the statement period are added and categorized first. My guide to a small business month end close checklist has the steps.

What should I know about connecting a bank account?

Intuit notes these limits on connecting accounts:

  • The feature is limited on QuickBooks Online Free and Lite.
  • You cannot connect American Express Business accounts with this method.
  • Accountants cannot connect a bank account for clients, so clients must do it.
  • Download timespans vary by bank, from 90 days up to 24 months.

QuickBooks tries to update bank transactions automatically every 24 hours, and it does not download pending transactions.

What is an opening balance?

An opening balance is the amount in a bank or credit card account on the day you start tracking it in QuickBooks. The Opening Balance Equity account tracks these balances.

If you connect an account, QuickBooks adds up the transactions since the date you picked to get the opening balance. Otherwise you enter it yourself. If you created an account without one, Intuit says you can add it later with a journal entry.

How should I import customers and vendors?

Intuit's import limits are worth knowing before you start:

LimitWhat it means
File size2MB or 1,000 rows, so split bigger lists
DuplicatesImporting again does not overwrite, so you can end up with duplicates
NamesMust be unique across customers, vendors, and employees, and cannot contain colons or quotation marks
EmailThe import supports 1 email address
Sub accountsCannot be imported

You can import from Outlook, Excel, Gmail, or Google Sheets.

How do bank rules help?

Bank rules categorize repeat transactions for you. A rule can match on Description, Bank text, or Amount, using Contains, Doesn't contain, or Is exactly. The highest priority rule applies first.

Bank text is exactly what the bank sends, and the description is a simplified version, so a rule can fail if you used the wrong one. Intuit recommends starting any auto post rule with simple, consistent transactions such as rent. My guide to QuickBooks Online bank feed rules covers this in depth.

What should I know about sales tax setup?

You need your tax agency names and rates, and whether you pay 1 rate or several. If you already charged sales tax on earlier transactions, you cannot turn it off without first removing it from them. You cannot edit a tax rate field: to change a rate, deactivate the old tax and create a new one.

If you do not see these settings, you may be on Automated Sales Tax, which Intuit covers in a separate article. Track what you owe with the Sales Tax Owed list or the Sales Tax Liability report.
