Small Business Month End Close Checklist: 8 Steps in QuickBooks Online
A small business month end close is a short set of checks you run after each month ends to make sure the books match the bank, nothing is missing, and later changes to the month are harder. In QuickBooks Online the steps are to enter everything outstanding, review and categorize bank transactions, reconcile each bank and card account, review receivables and bills, check your reports, and lock the books. The order below is mine, assembled from separate Intuit help pages.
What is a month end close for a small business?
A month end close is the routine that finishes one month's books before you rely on them. IRS Publication 583 gives the anchor: reconcile your checking account each month. A full close adds a few more checks around that reconciliation.
I did not find a single Intuit help article for a small business month end close. The checklist below puts its separate help pages in a working order, and the Sources list names every page. For the record keeping behind this, see my guide to small business bookkeeping basics.

How to close the books each month
- Enter everything outstanding. Add outstanding invoices, expenses, and payments for the month. Intuit's close the books page lists this as part of the review before locking, along with checking that accounts are complete and accurate.
- Review bank transactions. In QuickBooks, go to All apps, then Accounting, then Bank transactions, pick the account, and open the Pending tab. Downloaded transactions arrive there with suggested categories. Select Post if the category is right, or change it first. QuickBooks suggests categories from how you categorized similar transactions before, and it does not download pending bank transactions.
- Clear the catch all accounts. QuickBooks has default accounts called Uncategorized Expense and Uncategorized Income for spending and earnings that need a category. Move each item to a real category. Intuit's guidance: income is money paid to you, and expenses are money paid to others.
- Reconcile each bank and credit card account. Reconciling matches the transactions in QuickBooks to your statements. See the steps in the next section.
- Check what customers owe. Go to Reports, then Standard reports, and in the Who owes you section run Accounts receivable aging summary or detail. It shows who is falling behind, how much is due, and how long it is past due.
- Check what you owe vendors. Use the Vendors list to monitor balances and run Accounts Payable reports for balances and aging, so overdue bills show up.
- Review your results. Run Profit and Loss Comparison from Reports, then Standard reports. It defaults to the current year to date against the same period last year, and you can switch the accounting method between accrual and cash.
- Lock the books. See the steps below.
How do you reconcile an account in QuickBooks Online?
Have the statement ready, and make sure every transaction for the statement period is already added and categorized.
- Go to All apps, then Accounting, then Reconcile.
- Pick the account, and check that the last statement ending date is the day before the current statement starts.
- Enter the ending balance and ending date from the statement, then select Start reconciling.
- Check the box next to each transaction that matches the statement.
- Keep going until the Difference is $0.00, then select Finish now.
Intuit saves a reconciliation report you can open from History by account on the Reconcile page. Intuit also lets you upload the statement for AI powered reconciliation, and says the upload and verification may take up to an hour.
Why bother every month? Intuit says regular checks help you watch the business, spot possible suspicious activity, and avoid bookkeeping mistakes.
A $0.00 difference is the goal, but I also check that the cleared payment and deposit totals match the statement. For parent and sub cards, see my guide to reconciling a credit card with sub accounts in QuickBooks Online.
How do you lock the books in QuickBooks Online?
A lock date means transactions on or before it cannot be changed without approval. Attempts to change or delete them trigger a warning or a password prompt, depending on your setting. With the warning only option, users see a warning but can still make changes.
- Sign in as the primary or company admin.
- Go to Settings, then Account and settings, then the Advanced tab.
- In the Accounting section, select Edit and turn on Close the books.
- Enter a closing date.
- Choose a security option: allow changes after a warning, or after a warning and a password.
- Save.
Intuit adds that when a new fiscal year starts, QuickBooks Online moves last year's net income to the retained earnings account.
Which default accounts matter at close?
A few default accounts matter at close:
| Account | What it holds |
|---|---|
| Accounts Receivable | Money customers owe you |
| Accounts Payable | Bills you have not paid yet |
| Uncategorized Income and Expense | Earnings and spending that still need a category |
| Undeposited Funds | Cash or checks ready to deposit |
| Reconciliation Discrepancy | Adjustments made while reconciling |
| Retained Earnings | Net income carried forward |
What if the bank feed is a mess?
Set up rules so repeat transactions categorize themselves. Intuit allows up to 2,000 bank rules with up to 5 conditions each, and the highest priority rule applies first. My guide to QuickBooks Online bank feed rules covers rules and matching in more detail.
